Moving from Pipedrive to HubSpot means mapping Pipedrive's people, organisations, deals and activities onto HubSpot's contacts, companies, deals and engagements, then deciding which fields, stages and history are worth bringing across. Records and deals move cleanly. Notes, emails, files and full activity history need more care. For a small to mid-sized B2B team, a Pipedrive migration usually takes 3 to 8 weeks on its own, or 12 to 16 weeks when it's combined with a full HubSpot onboarding.

Why do teams move from Pipedrive to HubSpot?
Most teams move because they've outgrown a sales-only CRM. Pipedrive is built around deals and pipelines. HubSpot connects sales, marketing and service on one customer record, so the same platform handles email marketing, forms, attribution, tickets and reporting.
The trigger is usually one of three things: marketing needs to run campaigns from the same data sales uses, leadership wants reporting from first enquiry to closed deal, or the business has added a service team that needs the customer history.
What maps from Pipedrive to HubSpot?
Most Pipedrive objects have a direct HubSpot equivalent, but the structure isn't identical. These are the standard mappings.
| Pipedrive | HubSpot | What to watch |
|---|---|---|
| Person | Contact | Lifecycle stage replaces separate lead labels |
| Organisation | Company | Association rules differ, so check links to contacts and deals |
| Deal | Deal | Stages and probabilities are rebuilt in HubSpot |
| Pipeline and stages | Pipeline and deal stages | A chance to redesign stages around how you sell now |
| Lead (Leads Inbox) | Contact at an early lifecycle stage | HubSpot has no separate lead inbox by default |
| Activity | Task, meeting or call on the timeline | Needs a migration tool or the API |
| Note and email | Note and email on the record | Gmail history can be imported from each inbox. Other email clients and notes need the API |
| Product | Product and line items | Line items need re-associating to deals |
| Custom field | Custom property | Field types and dropdown options mapped deliberately |
Can HubSpot's Pipedrive integration do the migration?
Partly. HubSpot builds a free Pipedrive data sync app that syncs people, organisations, deals and products between the two systems, and existing records sync when you connect it. As of October 2026, mapping custom fields and syncing activities through it needs Data Hub Starter or above.
The sync is useful for running both systems side by side during a cut-over. It doesn't redesign anything. Whatever stages, fields and duplicates you have in Pipedrive come across as they are, so the mapping decisions still need to be made first.
What doesn't migrate cleanly from Pipedrive?
A few things need extra care in almost every Pipedrive migration.
- Emails, notes and attachments. If your team uses Gmail and has Sales Hub Professional or Enterprise, HubSpot's historical email import (currently in beta) brings past sales emails across from each person's inbox. Outlook and other email clients need an API-based tool, which adds to the cost. Notes and attachments also need a migration tool or the API, and very old items may not be worth moving.
- Activity history. Calls, meetings and tasks can move, but they need to be linked back to the right contact, company and deal.
- Associations. Deals can arrive disconnected from their contacts and companies if associations aren't mapped.
- Leads Inbox. Pipedrive leads become contacts in HubSpot, usually at an early lifecycle stage.
- Automations. Pipedrive automations don't transfer. They're rebuilt as HubSpot workflows, which is a good moment to redesign them.
In an OTM HubSpot migration, we bring across as much of your history as the old system allows, and agree with you up front what's worth keeping.
How long does a Pipedrive to HubSpot migration take?
A Pipedrive migration on its own typically takes 3 to 8 weeks, depending on data volume, custom fields and how much activity history you want. A small, clean account can move in days. Most of the time goes into mapping and testing. The import itself is quick.
When the migration is part of a full HubSpot onboarding, plan for 12 to 16 weeks, with discovery and mapping in the first two. For the phases in detail, see how long HubSpot onboarding takes.
How much does a Pipedrive to HubSpot migration cost?
For most small to mid-sized teams, a Pipedrive migration sits inside a mid-range HubSpot onboarding, which Australian partners typically quote at A$15,000 to A$35,000 when it includes multiple hubs and integrations. A straightforward migration with a single-hub setup costs less.
Cost goes up with record volume, the amount of activity history you keep, custom fields, email clients other than Gmail, and the number of integrations that need rebuilding. For a full breakdown, see what HubSpot onboarding costs in Australia.
What are the steps in a Pipedrive to HubSpot migration?
A careful migration follows the same seven steps, whoever runs it.
- Audit Pipedrive. List objects, custom fields, pipelines, automations and integrations, and check data quality.
- Decide what's worth keeping. Agree which fields, stages and history move, and which get left behind.
- Design HubSpot first. Set up lifecycle stages, pipelines and properties before importing anything.
- Clean the data. De-duplicate people and organisations and standardise key fields.
- Migrate in order. Companies, then contacts, then deals, then activities, notes and emails, with associations.
- Test and reconcile. Compare record counts and spot-check deals and timelines against Pipedrive.
- Cut over and train. Switch the team to HubSpot on an agreed date, with training on their own portal.
Steps 2 and 3 are where most migrations succeed or fail. Bringing years of old fields and stages across unchanged means carrying old problems into a new system.
Frequently asked questions
Can I migrate from Pipedrive to HubSpot myself?
Yes, for a small, clean account. Records and deals can be imported by CSV or synced with HubSpot's Pipedrive app. Notes, emails, files and activity history are harder, and the mapping decisions are where DIY migrations usually lose data.
Does HubSpot have a Pipedrive import tool?
HubSpot builds a free Pipedrive data sync app that syncs people, organisations, deals and products. Custom field mapping and activity sync need Data Hub Starter or above as of October 2026.
Will my Pipedrive notes and emails move to HubSpot?
Sales emails can, if your team uses Gmail. HubSpot's historical email import, in beta for Sales Hub Professional and Enterprise, pulls past emails from each connected inbox. Other email clients need an API-based tool, which adds cost. Notes come across with a migration tool or the API, not a standard CSV export.
What happens to Pipedrive leads in HubSpot?
Pipedrive leads usually become HubSpot contacts at an early lifecycle stage, since HubSpot has no separate leads inbox by default. Lifecycle stages then track them through to customer.
Do Pipedrive automations transfer to HubSpot?
No. Pipedrive automations are rebuilt as HubSpot workflows. It's a good moment to redesign them around how you sell now.
How long does it take to move from Pipedrive to HubSpot?
A migration on its own typically takes 3 to 8 weeks. Combined with a full HubSpot onboarding, plan for 12 to 16 weeks.
What we notice
A Pipedrive migration is the best chance most teams get to rethink how they sell. The ones who use it to redesign their pipeline end up with a cleaner HubSpot than the ones who copy Pipedrive across. Which of your current deal stages would you keep if you were starting again?
