For a small to mid-sized B2B team, HubSpot onboarding through an Australian Solutions Partner usually costs between A$8,000 and A$35,000 in 2026, on top of your HubSpot licences. A single hub set up properly sits at the lower end. Two or three hubs with a CRM migration and integrations sit in the middle. Custom objects and complex reporting push past A$35,000. If you onboard with HubSpot directly instead, Professional plans carry a one-time onboarding fee of US$1,500 to US$3,000 per hub.

What does HubSpot onboarding cost at each level?
Published Australian partner pricing in 2026 falls into four broad bands. The band you land in depends on how many hubs you're setting up, how much data is moving, and how far your process sits from HubSpot's defaults. All figures are in AUD and exclude GST and HubSpot licences.
| Scope | Typical cost (AUD, ex GST) | Typical timeline | What's usually included |
|---|---|---|---|
| Light CRM setup | A$3,000 to A$8,000 | 4 to 8 weeks | One pipeline, core properties, email and calendar connected, basic training |
| Single hub, set up properly | A$8,000 to A$15,000 | 8 to 12 weeks | Process mapping, lifecycle stages, pipelines, properties, a handful of workflows, dashboards, team training |
| Multi-hub with migration and integrations | A$15,000 to A$35,000 | 12 to 16 weeks | Sales and Marketing (and often Service) Hub, data migration from a legacy CRM, two or three integrations, role-based training |
| Custom architecture | A$35,000+ | 3 to 6 months | Custom objects, complex attribution, advanced integrations, multi-team or multi-entity rollout |
A light setup gets the CRM switched on. It rarely includes the planning that keeps HubSpot useful once the business grows, so teams at that level often pay again within a year or two to rebuild it.
Does HubSpot charge its own onboarding fee?
Yes. HubSpot charges a mandatory, one-time onboarding fee on Professional and Enterprise plans when you onboard with HubSpot directly. As of October 2026, HubSpot lists these fees in US dollars in its Product & Services Catalog.
| HubSpot product | Professional onboarding | Enterprise onboarding |
|---|---|---|
| Marketing Hub | US$3,000 | US$7,000 |
| Sales Hub | US$1,500 | US$3,500 |
Australian partners publishing AUD equivalents in 2026 quote around A$4,320 for Marketing Hub Professional and A$2,160 for Sales Hub Professional. Starter plans have no onboarding fee.
HubSpot's onboarding gives you a guided plan and a specialist to work through setup with you. Your team still does most of the building.
Can a HubSpot partner replace HubSpot's onboarding fee?
Yes, when the partner is eligible. If a HubSpot Solutions Partner is handling your implementation, HubSpot can remove the required onboarding fee from your contract, so you pay for one onboarding instead of two. Eligibility depends on the partner, so ask about it before you sign your HubSpot contract, because it's much harder to change afterwards.
OTM is a HubSpot Gold Solutions Partner, and we can have HubSpot's onboarding fee waived when we run your onboarding.
This matters for budgeting. If a partner quote looks higher than HubSpot's fee, check whether the partner fee replaces HubSpot's onboarding or sits on top of it.
What makes HubSpot onboarding cost more?
Five things move the price more than anything else. Most quotes are really a judgement about these.
- Number of hubs. Each extra hub adds its own setup, properties and automation. Australian partners typically add A$5,000 to A$12,000 per additional hub.
- Data migration. Moving from spreadsheets is simpler than moving from Salesforce or Pipedrive with years of deals and activity history. Migrations from Salesforce are commonly quoted at A$8,000 to A$25,000 on their own.
- Integrations. Native integrations (Xero, calendar, calling tools) are quick. Custom integrations through the API or middleware take real build time.
- How far your process is from HubSpot's defaults. A standard sales pipeline is quick. Multiple entities, regulated workflows or a product-specific data model need custom objects and more design work.
- Training and documentation. One generic session is cheap. Training built around each role, with written documentation your team owns, takes longer and pays back faster.
What doesn't the onboarding fee include?
Partner onboarding fees almost never include your HubSpot licences. Licences are billed by HubSpot monthly or annually and are separate from setup costs.
As a guide, Marketing Hub Professional starts at around A$1,380 a month in Australia in 2026, and Sales Hub Professional is charged per seat. Other common extras:
- Ongoing support after go-live, often quoted at A$1,000 to A$3,000 a month for mid-sized teams
- Website or CMS builds on HubSpot
- Paid integration tools or middleware subscriptions
- Additional data clean-up if the source data turns out to be messier than expected
Is it cheaper to onboard HubSpot yourself?
Doing it yourself is cheaper on paper. You avoid partner fees, and on Starter plans there's no HubSpot onboarding fee at all.
The real cost is time and rework. Switching HubSpot on takes an afternoon. Building it around your business takes experience. Lifecycle stages, deal stages and properties are hard to change once data and automation depend on them. When we're asked to fix a self-built portal a year in, the clean-up usually costs more than a planned setup would have.
DIY tends to work well for very small teams with a simple sales process. It tends to break down once there's more than one team in HubSpot, a migration from another CRM, or leadership reporting that needs to be trusted.
How do you compare HubSpot onboarding quotes?
Quotes are only comparable when they cover the same scope. Before choosing a partner, check each quote against the same list.
- Which hubs are included, and at what tier?
- Is data migration included? From which system, which objects, and how much history?
- Which integrations are included, and are they native or custom?
- How many pipelines, workflows and dashboards are in scope?
- What training is included, and is it built around your roles?
- Who owns the documentation at the end?
- Does the fee replace HubSpot's onboarding fee, or sit on top of it?
- What support is included after go-live, and for how long?
A lower quote that leaves out migration or training usually costs more by the time those are added back. For the full list, see what to ask a HubSpot onboarding partner before you sign.
How long does HubSpot onboarding take?
A standard HubSpot onboarding typically takes 8 to 12 weeks. A light CRM setup takes 4 to 8 weeks, and multi-hub rollouts with migrations and integrations take 12 to 16 weeks. Custom architecture takes 3 to 6 months. For what happens in each phase, see how long HubSpot onboarding takes.
At OTM, a standard onboarding runs in four phases: discovery in weeks 1 to 2, foundations in weeks 3 to 6, rollout in weeks 7 to 10, and handover in weeks 11 to 12. Training starts in week 3 and runs alongside the build.
Frequently asked questions
How much does HubSpot onboarding cost for a small business in Australia?
For a small B2B team setting up one hub properly, expect A$8,000 to A$15,000 through a partner in 2026, plus HubSpot licences. A light CRM-only setup can cost A$3,000 to A$8,000 but rarely includes process mapping or role-based training.
Is HubSpot onboarding mandatory?
HubSpot requires a one-time onboarding fee on Professional and Enterprise plans. Starter plans have no onboarding requirement. HubSpot Solutions Partners, including OTM, can waive HubSpot's onboarding fee when they run your implementation, so you pay the partner's implementation fee instead of both.
What does HubSpot's own onboarding fee cost in AUD?
HubSpot lists its fees in US dollars: US$3,000 for Marketing Hub Professional and US$1,500 for Sales Hub Professional. Australian partners quote these at around A$4,320 and A$2,160 respectively in 2026.
Does HubSpot onboarding include data migration?
Not always. HubSpot's own onboarding guides you through importing data yourself. Partner onboarding often includes migration, but check which system, which objects and how much history are in scope.
How much does it cost to migrate from Pipedrive or Salesforce to HubSpot?
A migration from spreadsheets or Pipedrive is usually part of a mid-range onboarding. Migrations from Salesforce are commonly quoted at A$8,000 to A$25,000 on their own, depending on data volume and customisation.
Is a HubSpot partner worth the cost?
A partner is worth it when your setup involves more than one team, a CRM migration, integrations or reporting leadership depends on. For a very small team with a simple pipeline, HubSpot's own onboarding or a light setup is often enough.
Do HubSpot onboarding prices include GST?
Most Australian partners quote ex GST, so add 10% to compare with a GST-inclusive budget. HubSpot's own fees and licences are billed separately.
The pattern we see
